Office Manager

SUMMARY:

This full-time (40 hours/week), exempt (grade 8) benefits-eligible position is responsible for the day-to-day operations of the reception area, ensuring compliance with established protocols and federal and state requirements at NEEI-Commonwealth Practice.  This position reports to the Director of Operations.

RESPONSIBILITIES:

  • Ensures communications with patients are professional, timely and accurate, including patient flow (check-in and check-out); ensures that interactions with patients are handled in an efficient and patient-friendly manner.

  • Ensures patient files are kept current and complete, including HIPAA acknowledgements, referrals, insurance information, demographic information and billing information.

  • Ensures staff are trained on practice management system and front-end operations.

  • Balances/reconciles all time of service and on-account payments received from patients on a daily basis; prepares and deposits all cash and check payments in the bank daily and credit card settlement reports are faxed to the Business office daily.

  • As the lead member of the reception team, assists with scheduling, registration, insurance verification duties at the reception area.

REQUIRES:

  • Bachelor's degree in business administration or equivalent work experience.

  • Prior experience as an office manager / receptionist / patient care coordinator in a medical practice setting.

  • Computer experience and competency with Windows 2000, Microsoft products (Outlook, Excel, Word).

  • ICD-9, CPT, IDX knowledge or willingness to be trained.

  • At least two years of supervisory experience.

  • At least two years of experience in operations management in a healthcare setting.

  • Excellent organizational and multi-tasking skills.

  • Excellent interpersonal and customer service skills.

  • Thoughtful, proactive and eager to provide continuous improvement of service to patients.

  • Flexibility with schedule work hours as needed.

  • Demonstrates a commitment to: maintain effective communication with staff and customers to facilitate and promote effective working relationships and customer service; maintain work practices that comply with established NEEI policy and procedures; promote a safe and healthy environment for patients, visitors and peers, and maintain competencies and participate in those activities that contribute to the on-going development of self and others.
