Office Manager
SUMMARY:
This full-time (40 hours/week), exempt (grade 8) benefits-eligible position is
responsible for the day-to-day operations of the reception area, ensuring
compliance with established protocols and federal and state requirements at
NEEI-Commonwealth Practice. This position reports to the Director of
Operations.
RESPONSIBILITIES:

Ensures communications with patients are professional, timely and
accurate, including patient flow (check-in and check-out); ensures that
interactions with patients are handled in an efficient and patient-friendly
manner.

Ensures patient files are kept current and complete, including
HIPAA acknowledgements, referrals, insurance information, demographic
information and billing information.

Ensures staff are trained on practice management system and
front-end operations.

Balances/reconciles all time of service and on-account payments
received from patients on a daily basis; prepares and deposits all cash and
check payments in the bank daily and credit card settlement reports are faxed
to the Business office daily.

As the lead member of the reception team, assists with scheduling,
registration, insurance verification duties at the reception area.
REQUIRES:
-
Bachelor's degree in business administration or equivalent work
experience.

Prior experience as an office manager / receptionist / patient care
coordinator in a medical practice setting.

Computer experience and competency with Windows 2000, Microsoft
products (Outlook, Excel, Word).

ICD-9, CPT, IDX knowledge or willingness to be trained.

At least two years of supervisory experience.

At least two years of experience in operations management in a
healthcare setting.

Excellent organizational and multi-tasking skills.

Excellent interpersonal and customer service skills.

Thoughtful, proactive and eager to provide continuous improvement
of service to patients.

Flexibility with schedule work hours as needed.

Demonstrates a commitment to: maintain effective communication with
staff and customers to facilitate and promote effective working relationships
and customer service; maintain work practices that comply with established NEEI
policy and procedures; promote a safe and healthy environment for patients,
visitors and peers, and maintain competencies and participate in those
activities that contribute to the on-going development of self and others.
